Data security has become the biggest challenge in the modern era. The employers ask for multiple information about the applicants during the process of interviewing, selecting, and recruiting. This information usually includes full name, father’s name, identity number, medical record, and other personal data. If this data is unsecure, it can cause substantial harm to the relevant person. The applicants and employees are more concerned about their data privacy and security. Of course, it is the responsibility of HR management to ensure the data security of employees by all means. However, this job is harder due to a number of cyber security threats and a hybrid work style. Here are a few ideas to maintain data security!

Development of standard policies and practices

There are a number of state and provincial data privacy laws that regulate organizations in terms of the data security of employees and job applicants. Likewise, considering formal policy frameworks is imperative. For example, no one should be allowed to view, copy or transmit sensitive employee data except prior approval from the respective department.

Database management by itself is a significantly effective way to reduce the risks of data misuse. Timely updating of records, classifications, alterations, and deletions of unnecessary data lowers the chances of greater loss. For the applicants who are not selected, their data should be deleted promptly or stored safely under their consent. Data classification is also really important as a part of database management.

Accordingly, carrying out market research about data security is worthwhile.  It makes the HR management cognizant of the possible upcoming threats in the world of cybersecurity. In this way, HR management can forestall the strategies and can employ the required tools to cope with the risk of data theft.

Enhancing database security through periodic checks

Once HR management is aware of new kinds of data theft tools, it can update its database security tools accordingly. Furthermore, periodic checks allow the management to keenly investigate the incidents of data retrievals without proper authentication. These unauthentic data retrievals can be intentional as well as unintentional, so actions such as restricting access to the system for selected computers and installing firewalls, etc. can be taken accordingly.
